A Spanish buyer sent the RFQ original-cell screenshot on WhatsApp. Quantity said 2000 pcs 20oz stainless mug, lead time said 25 days after deposit, the attachment cell asked food contact facing this model. Original: “Do not send factory best price. First screen must face THESE cells. HK invoice OK.” Sales sent a “we quote fast” poster, a draft that pasted a neighbour 30oz unit price into this ticket, and “we can do any certificate.” The buyer asked again: what did you write in the 20oz cell? Sales wrote “quoted.” The price cell actually said best price. The attachment was a fifty-page album.
Operations wanted another multilingual template. The floor said lead time was “about a month.” Finance wanted an “RFQ quote acceleration fee” in the unit price. Which original RFQ cells to copy first
Open this RFQ in seller centre. Do not open the blast-quote box first. The page must show name or specification, quantity, unit, destination port or country, lead time or a date, attachment ask, and validity. Copy those cells onto one page, one row each. Quoting from memory often writes a neighbour 30oz into this 20oz.
The RFQ entry is seller.alibaba.com/rfq above. The entry lets you find open tickets. It does not audit whether you copied the original cells, and it does not prove clicking “quote now” makes the buyer open it. Sales writes “we rank high in the RFQ hall” as already quoted. A hall seat is not this first screen. A miss on the 2000 pcs 20oz cell is treated as not quoted.
Who copies. The salesperson on this ticket. The store lead checks the copy page and the RFQ detail are the same ticket. Finance does not look for a “quote certification fee” on the detail. There is no such row.

My Alibaba left often holds “opportunities” or “RFQ.” Open the to-quote list, then this ticket, not another similar title under all opportunities. A similar title is often a neighbour SKU or country. Number, country, and time left at the top of the detail must face the copy page. Country Spain and a US-voltage write is the wrong country. Hours left and the floor cannot lock lead time: write cannot. Do not race submit.
If original cells hold a drawing or a model, the first line of the copy page writes the model, not “similar.” Similar does not face a drawing. Quantity, target price, and attachment on the detail sometimes collapse. Expand them before you copy. A quote sent with the fold closed often misses the food-contact row. WhatsApp added: “I attached the 20oz drawing. Your first screen is a brochure.” The drawing sits in the attachment cell, not the name cell. The first line of the copy page writes the drawing ID, not a similar SKU. Half a day of validity left and the floor cannot lock lead time: write cannot. Do not race. “Similar RFQ” in the hall is not this ticket. Clicking similar opens another ticket.
Quantity, unit, and whether you can ship
The quantity cell copies the original number and unit. 2000 pcs writes 2000 pcs. Do not change it to 2k sets. Do not change it to “can ship in lots.” A unit that does not face is treated as not quoted.
The floor answers whether this quantity grade can ship. Cannot do 2000, can do 500: the first screen writes cannot do 2000 pcs, can do 500 pcs in which lead-time grade. Do not write 2000 to avoid a reject. A false quantity that turns submit green cracks the later order first.
MOQ faces the grade the floor can take. Original 2000, your MOQ 3000: write MOQ 3000, your RFQ is 2000, cannot lock 2000. Do not write MOQ 1 to turn a cell green. A false MOQ is not what the quotation lesson asks for.
The quotation lesson is PX5Z53Q4. It is how to write a quote. It does not prove writing the buyer’s number avoids a reject, and it does not lock a conversion rate. This page does not invent “filling quantity raises N percent.”
Who faces quantity. Sales copies the number. The floor locks whether it can ship. The store lead checks the first-screen number and the copy page are the same row. Finance does not look for a “quantity certification fee.”
If the original cells did not write lots, do not volunteer three shipments. Volunteer lots do not fill the quantity cell. The buyer treats you as unable to ship the ticket. If the original cells wrote lots, write each lot’s count and date. Do not write “flexible.”
Unit is pcs, sets, or pairs. Do not mix. 20oz mug 2000 pcs is not 2000 sets. A mix is the wrong unit. Stop: filling quantity with “about” or “or so.” About does not lock the floor.
If original quantity is a 200 trial and a note that 2000 may follow, the first screen faces 200. Write 2000 in the next sentence: if 200 confirmed, 2000 lead time locks separately. Do not quote the trial as a bulk price and a bulk lead time. Trial lead time follows sample or small-lot grade — see the sample-policy and lead-time pages. Stop: clicking submit before the floor was asked. Stop: pasting a neighbour 5000 capacity into this 2000 to look able. A capacity sheet is not this ticket’s lock. A mould on a neighbour order this week: this 2000 cannot ship. Write cannot. Do not write “rush is fine.”
If a side cell holds alternate quantities or steps, write can or cannot on each grade. If the original cells only want 2000, do not add a 5000 step to look large. An extra step does not fill the 2000 cell. The buyer treats you as talking about another ticket. Unit conversion stays internal. Do not write “about two pallets” on the first screen. A pallet is not pcs. Customs and the bill of lading read the unit you locked, not about.
Which shop-floor grade the lead time faces
The lead-time cell faces the grade the floor can lock, and writes working days or calendar days. Original 25 days after deposit, floor can lock: write 25 working days after deposit received. Cannot lock: write cannot do 25 days, can do 35 working days after deposit. Do not write ASAP. Do not write “as soon as possible.”
How to write a lead-time promise is the lead-time page. This page only checks whether the first-screen grade and the spoken floor grade are the same. Spoken “about a month” does not fill the lead-time cell. A month is 30 or 35, working or calendar. Three questions empty: treat as no lead time quoted.
Write the start point: after deposit, after artwork freeze, after sample confirm. Face the one the original cells wrote. If they wrote none, write the one you can lock and say so. Do not default to “from order day.” Order day and funds-in day are not the same day.

If sample confirm has not happened, do not start lead time from today. Write the sample window first, then the bulk start. A sample already shipped and silent is the sample page. Do not write sample arrival as bulk lead time.

Holidays, mould service, and outside plating stay in the internal lock. Do not write them on the first screen as a selling point. The first screen only writes the grade that faces the original cells. Origin is China goods are not Hong Kong origin. A Hong Kong invoice date is not floor lead time.
If the back office splits “production days” and “transit days,” production faces the floor and transit faces merchandising. Do not fill both with the same number. If transit days cannot lock, write cannot do ocean days, can quote FOB pickup. Do not write ocean days as production days to turn a cell green. False days are worse than empty.
What the price first screen writes and what it does not
The price cell writes a number, a currency, a unit, and which quantity grade it faces. USD 2.40 / pc at 2000 pcs. Do not write best price. Do not write factory price. Do not write “depends on quantity.” Those four words do not fill the price cell.
Write validity to which day. If the original cells hold a quote validity, face it. If not, write the date you can lock. Do not leave an expired price on the first screen. This page does not invent an official must-lock-N-days.
If price excludes freight, write EXW or FOB which port, freight on a separate annex. How freight splits is the freight-annex page. Do not paint “freight about” onto this first screen. About does not face a port.

If original cells hold a target price, write can or cannot against it. Cannot do the target: write cannot do USD 1.10, can do USD 2.40 at 2000 pcs. The attachment holds one page that faces this ticket
The attachment cell holds one page: this model’s specification, food-contact scope, or the sheet the original cells named. File name holds the RFQ ID and the specification. A fifty-page album as the attachment is treated as no attachment. A plant-wide certificate pack does not face 20oz.

Port and term
The port cell writes the destination in the original cells or the load port you can quote. FOB Shenzhen, EXW Dongguan — write them in full. Do not write China port. Do not write “a nearby port.” Nearby does not face a bill of lading.
Term and port sit on the same row. FOB faces the load port. CIF faces the destination. Original cells want CIF Valencia and you only quote FOB: write cannot do CIF this ticket, can do FOB Shenzhen, freight annex on another page. Do not paint CIF and let the forwarder backfill later.
The freight-annex page writes scope and variables. This page only checks whether the first-screen term and the original cells are the same grade. How-to-sell does not audit the port. This page does not invent an official must-FOB.
Who writes the port. Sales copies the original cells. Merchandising faces whether that port can load. Finance faces the term and who bears destination charges. Three rows that disagree: write cannot. Do not submit.
A Hong Kong company as contract seller does not mean the goods load in Hong Kong. Origin and ship-from are the China-goods page. First screen writes EXW inland plant, contract seller Hong Kong — both rows. Writing only Hong Kong is how the buyer treats a Hong Kong load. Later papers will not face.
Stop: an empty port cell and a price cell already written as CIF. Empty plus CIF is a term miss. Stop: pasting a neighbour Ningbo port onto this Shenzhen plant. The plant is not in Ningbo. A paste is the wrong port.
Cells you cannot do write cannot first
If an original cell is one you cannot do — 30oz, DDP, a named certificate, 25 days — the first screen writes cannot do which cell, then can do which grade. Do not leave it empty hoping they will not notice. Empty is treated as not quoted, and often rejected at once.
The quotation lesson does not ask you to write a cannot cell as can. Writing can cracks the later order first. This page does not invent “honesty lowers conversion” — this page does not invent a conversion rate.
A certificate you cannot do writes file not facing this 20oz. Do not write “we can arrange any certification.” Any does not fill the certificate cell. Certificate pages sit elsewhere. This page only writes this one first-screen sentence.
Who writes cannot. The floor writes specifications and lead times it cannot ship. The clerk writes files it does not hold. Sales writes them on the first screen. The store lead checks the word cannot is still there and was not changed to can. Sales must not delete cannot to pass the hall.
Stop: filling a cannot cell with “to be confirmed after we talk.” After we talk does not lock. Stop: a multilingual template that auto-translates cannot into can. A bad translation is a false quote.
Ten original cells, six you can do, four you cannot: write the six as they are, write cannot on the four. Do not leave the four empty to look full. A full screen of false words is rejected faster than six true cells. This page still does not invent a reject rate.
After the cannot cells are written, the store lead reads them aloud: which cell cannot, which cell can. Sales must not delete cannot before that read. A delete is a false quote. A false quote is worse than empty. A later Trade Assurance clip will not face.
Who clicks submit, and who faced the rows first
The person who clicks submit is the salesperson on this ticket. Before the click, three rows faced: the copy of the original cells, the floor lock on lead time and quantity, and the attachment file name. Rows that disagree: hands off the button.
The store lead checks submit is this ticket, not a neighbour. Two sub-accounts each clicking once is two sets of numbers. Stop: clicking at once. A “factory best price” in the shortcut library does not click before the three rows faced.

After an instant reject, which step you stop
If status becomes rejected, expired, or they do not open it, stop before you quote again. Open the copy page. See which cell missed: quantity unit, lead-time grade, price wording, attachment, port, or a cannot cell. Fill the empty one. Do not cut the price first. A lower price does not fill an empty cell.
If the page holds a reject reason, change that row. No reason: self-check the six cells. Do not invent “a competitor reported us.” No current back-office notice, no report you can cite.
The same ticket allows one more version, and that version must write which cell changed. Rejected again: close this RFQ follow-up. Closing is not deleting the record. If the same mailbox returns for bulk, open the old RFQ and the first-screen shot. Do not treat them as a new buyer and send the album again.
A multilingual re-quote is the conversion page. This page stops at the cells. A freight reject is the freight-annex page. A cold inquiry letter is the silent-after-reply page. Never found in search is no search exposure. This page does not jump into those steps.
