An Italian buyer’s first inquiry: “Need 500 pcs, 20oz, FDA food contact, lead time?” Sales replied within two hours: “Dear customer we are factory best price welcome to visit.” Three days of silence. Sales blasted the same letter with the subject Gentle follow up. The buyer’s WhatsApp original: “I asked 20oz and FDA. Your mail is a brochure. Do not send best price again.” Sales sent an album and a backend screenshot titled “our response rate is good.”
Operations wanted another auto-reply. The owner said the price must be high. Finance wanted an “inquiry activation fee” in the unit price. Membership wired to ALIBABA.COM HONG KONG LIMITED does not buy a second mail, and it does not buy an official follow-up count.
Who does what. Sales opens the inquiry and faces the original lines. The floor confirms whether 20oz and the lead time can be written as locked. Which inquiry fields to open first
Open this one inquiry. Do not open the blast box. Read at least: buyer name and country, source (search string or showcase), the full original lines, the reply you already sent, attachments, and read or unread. If the original lines are collapsed, expand them. Do not rewrite from memory.
Read-and-silent is not the same as unread. Unread: check junk rules and whether a sub-account received it. Read: treat it as missing sentences. Do not send the same letter again.

Message centre left is the inquiry list. Opening one row is the detail. “Replied” on the list only means someone clicked send, not that the original lines were answered. Source and linked product are two cells: source holds a search string or a showcase; linked product holds the SKU. If they disagree, write it down and talk only about the linked SKU. Stop: do not open the blast box before the detail. A welcome in the shortcut library is not opening the detail.
If the read time is later than your last send, treat it as read-and-silent. If read time is empty, check another sub-account. An attachment the main account cannot see is missing: put it back on this thread. Stop: do not click the same welcome again to keep response green.
What the identity and source fields actually said
Identity: company name or a private mailbox, country, logged-in buyer or not, any past order. A private mailbox plus “need cheap” plus one piece to a home address is a retail inquiry. Write MOQ and whether you do retail. Do not write “factory price, take as you like.”
If the country needs food contact, voltage, or a plug, and the original lines omitted it, ask one sentence in the rewrite. The question faces that country, not “we hold every certificate worldwide.”
If source is a SKU, the rewrite talks only about that SKU. If source is the store home, ask which model — one question. Pasting the whole album is not a reply.
If past orders show an open dispute, tell the merchandiser the old order’s state before you quote the same lead time as a new buyer. How to staple evidence on an old order is the first Trade Assurance clip.
If identity and the inquiry letterhead do not match, treat two parties. Write that the seller is a Hong Kong company and where the goods are made. Letterhead is document titles.
If the buyer only left a WhatsApp number, identity still follows the on-site name. You may book a time off-site. Specifications and price still return to this thread. An off-site promise does not enter a later order clip.
If the source string is a specification you cannot deliver, the first sentence writes which grade you cannot do and which grade you can. Do not pretend in order to avoid silence. A pretence cracks the later order first.
Split company name from private mailbox. A company name with a tax number or an on-site buyer file is B2B: write MOQ and lead time. A private mailbox plus need cheap plus one piece to a home is retail: write MOQ, whether you do retail, whether you only do Trade Assurance bulk. “Factory price, take as you like” cracks samples and orders later. A country that needs food contact, voltage, or a plug gets one question facing that country. “Every certificate worldwide” fills no country’s file field.
Source on a SKU: talk only that SKU. Source on store home or “other”: ask which model, one question. Source on stainless steel mug 20oz: the first sentence repeats 20oz stainless. Do not switch to “we also have glass.” An open dispute on a past order is told to the merchandiser before you quote a new-buyer lead time. Identity that does not match the letterhead is two parties: Hong Kong seller, goods made where. Letterhead is the titles page.
WhatsApp-only still follows the on-site name. Off-site books time; specifications and price return to this thread. If the source string is 30oz and you only make 20oz, the first sentence writes cannot do 30oz, can do 20oz. Pretending cracks the order. Who reads identity: sales. The store lead checks a retail inquiry was not quoted as bulk. Finance does not look for a “quality-buyer certification fee” on this field. There is no such row.
Which sentence the last letter missed
Split the original lines into questions, one per row. Did 20oz get an answer. Did 500 pcs MOQ get an answer. Did FDA or food contact get a file name and which model it faces. Did lead time say working days or calendar days. The rewrite fills only the empty row.
A welcome, a plant history, and a fair wall fill no row. Treating them as a reply is how the buyer treats you as unanswered.
If the original lines did not ask price, you may skip a firm number, but you must write how you will quote: MOQ, port or ex-works. “Best price” is not an answer.
How to write a lead-time promise is lead-time promise. This page only checks whether the last letter wrote a grade the floor can face. Spoken “fast” does not fill a lead-time field.
If the original lines asked for a sample, answer paid or creditable, who pays freight, which specification is frozen. Sample policy is sample policy. “Can send sample” without freight and specification is unanswered.
Do not pile certificate names. Food contact in the original lines gets this model’s file name and scope. A pile of CE, ISO, and a Verified badge is how the buyer treats FDA as unanswered. Certificates are not stickers you buy — see the CE page; this page does not open that file.
Who checks missing sentences. Sales ticks each row. The floor faces lead time and specification. The clerk faces the file. If three rows are empty, this letter does not go out.
Do not delete the wrong sentences you already sent. Send another letter. The first sentence writes: the last letter missed 20oz / FDA / lead time; the rows below fill them. Deleting the record empties a later dispute.

Rewrite only these three paragraphs — not a warmer brochure
Paragraph one: repeat the original specification and quantity; write can or cannot. Paragraph two: lead time, MOQ, sample — one line each. Paragraph three: ask the buyer to confirm a port or the next question — one question only. No fourth paragraph of plant history.
Follow the language of the original lines. English back in English. Do not mix Chinese and English and attach a Chinese company profile.
Lock numbers you can lock. What you cannot lock writes “pending written floor confirmation.” Do not write “about a week or so.” “Or so” does not fill lead time.
If an auto-reply already sent a welcome, the rewrite does not start with another welcome. It starts with the missing sentence. A welcome counts as a response. It does not count as answered.
How-to-sell writes reply soon. Soon is the answer sentence, not a faster copy of the same template. A fast template still leaves the original lines empty.
Attach one page that faces these three rows: specification or certificate scope. A fifty-page album as the attachment is treated as no attachment.
After you send, write send time and the three points into the clip. Do not let two sub-accounts each send a letter. The buyer will treat two sets of numbers.

Closing is not deleting. The record stays. If the same mailbox returns later, open the old thread. Do not treat them as a new buyer and send the album again.
Response already green, original lines answered, window closed: this thread is finished. Do not click send again to keep a cell green. Repeat sends may affect the buyer’s side. This page does not invent a platform deduction. Current rules govern.
